Survey Scheduler

Last Modify:

14 Nov 2024

The Survey Scheduler functionality allows administrators to schedule surveys with predefined start and end dates. By default, when creating a new survey or transitioning a draft survey to the "published" state, the system automatically assigns a one-year duration to the survey, setting both the start and end dates.

Key Features:

  • Start Date Field: The field for selecting the survey start date.

  • End Date Field: The field for selecting the survey end date.

  • Default Duration: The system automatically sets the survey's default duration to 1 year (365 days).

  • Draft to Publish Transition: When a survey is moved from "Draft" to "Published," the start and end dates are automatically populated with the default 1-year duration.

User Flow:

  1. Survey Creation:

    • When a user creates a new survey, the Start Date and End Date fields are visible but not yet populated.

    • If no specific dates are entered by the user, the system will automatically populate these fields with the following:

      • Start Date: The current date when the survey is created.

      • End Date: One year after the current date (the default time period for the survey).

  2. Survey in Draft State:

    • When a survey is in the "Draft" state, the system assigns a default 1-year duration (current date to one year later) to the Start and End Date fields.

    • The user can modify these dates manually if they wish to customize the survey period before publishing.

  3. Survey Transition from Draft to Publish:

    • Once the survey is ready for publishing and the status is changed from Draft to Published, the system automatically fills in the Start Date with the current date (date of publishing) and sets the End Date to exactly one year later.

    • Example: If the survey is published on June 10, 2024, the Start Date will be June 10, 2024, and the End Date will automatically be set to June 10, 2025.

  4. Survey Manual Adjustments:

    • The system allows the user to manually adjust the Start Date and End Date if the default 1-year duration is not suitable.

    • If the dates are changed manually, the system will save and apply these new dates without re-applying the default duration unless the survey is reverted back to "Draft" and republished.

  5. Error Handling:

    • If there are any issues with the selected dates (e.g., End Date is earlier than Start Date), the system will prompt the user with an error message and prevent the survey from being published until valid dates are selected.

Survey Scheduler Workflow:

  1. Start Date is automatically populated with the current date.

  2. End Date is automatically populated with the current date + 1 year.

  3. Users can edit both fields if they choose to customize the dates.

  4. When the survey is moved from Draft to Published, the Start Date is updated to the current date, and the End Date is updated to 1 year later.

  5. The system validates the date selection to ensure the End Date is always after the Start Date.
